The Competitive Edge of AI-Powered Recall in Dentistry

When people think about growing their practice, recall rarely gets the spotlight. Most of the time, energy and marketing dollars go toward bringing in new patients. But what if one of the biggest opportunities to improve cash flow is already sitting inside your practice?

Recall is about reactivating patients who already know you, trust you, and have been in your chair before. In many cases, those patients are far easier to bring back than starting from scratch with someone new. For many practices, recall includes patients who postponed, missed an appointment, or simply never rebooked. We like to refer to these patients as “warm leads”.

Although studies have shown that the probability of converting an existing customer is between 60 and 70 percent, compared to just 5 to 20 percent for a new prospect (Medium, 2016), many practices continue to focus heavily on new patient acquisition while existing patients quietly fall off the schedule. Despite its impact, recall is often treated as something to get to when there is extra time, when in reality, recall slipping has deeper implications such as the loss of long-term patient loyalty. The result is a familiar pattern: more marketing spend, more staff burnout, and less predictable revenue. It's a leaky bucket that needs to be plugged.

The best recall system starts before the patient leaves the office. It is critical that your team is booking them for their next appointment before the leave. Patients might push back, saying they need to check their schedule. Train your team on the right scripting here: 'we just want to get a date on the books', 'this isn't written in stone - it just helps us stay accountable for your oral health', 'insurance covers your cleaning, etc.

A strong recall system makes sure patients get booked before they leave and that follow-up does not depend on the patient remembering to make a call later. It is structured, consistent, and reliable. Simply put, recall is revenue you have already earned.

Most practices do have some form of recall in place, but we’ve found that the issue lies in how it is executed. The first common approach is 'spray and pray' automated texting. These tools usually send basic messages like “Reply Y to confirm or N if you cannot.” While simple, they miss the reality of why patients fall off in the first place. Life gets busy. Work runs late. Family schedules change. In this case, cost and timing matter, and yes or no text does not leave room for change.

The alternative is having your team call unscheduled patients. That's a tall order given they're already handling patients in the practice, inbound calls, verifying insurance, the list goes on. How are they going to find the time to make recall calls consistently? Dental is already dealing with staff-shortages - hiring more folks to run recall is a tough alternative. Plus, your team can only call during business hours, when most of your patients are busy at work. In the meantime, recall lists continue to grow and opportunities slip by.

The second approach is manual staff calls. We have found that a phone conversation is effective, but that manual staff calls do not scale well. Front desk teams are already juggling phones, patients, insurance questions, and walk-ins, so recall calls are often the first thing pushed aside.
